Global System Settings for Portal Services

Global: "Customer Jobs from Prinect Portal" Group
This is where you can set a default prefix for all jobs created on the Prinect Portal. The prefix "RA_" is available to you, for example, to be able tell MIS jobs from Portal Services jobs fast. The job name is made up of the prefix and the job number. For example, it could be "RA_4726".
Furthermore, you can assign the job a priority. When you open a job created on the Prinect Portal in the Prinect Cockpit, you can see the default job priority in the job properties.
Logs of all the actions in Portal Services are created. You can set how long you can track back actions by setting a time for tracking.
Global: "Approve" Group
An e-mail is sent to you, the print shop, for every approval done by the customer. This is where you can set that the contents of several e-mails will be collected over a certain period and sent together in one e-mail.
Global: "Submit Uploads" Group
"Move files to the job folder for submit":
This option lets you set by default which function you will be offered for the "Move & Submit" or "Submit" Buttons or "Move" Button.
Global: "Customer Sales Representative" Group
"Contact receives copy of all e-mails": All the contacts will always receive copies of all e-mails if this is ticked. In addition, you will see the contacts entered as a "CustomerSalesRepresentative" contact type in "Jobs > Product Description" (job open).
Global: "Portal Services" Group
This is where you set up which general information and which job information display in Portal Services. "Portal Services" is global in this setting and is job-specific in another. See Job-specific: "Portal Services" Group .
•"Visible in Internet > Job Information": This option lets you select which job information will display on the Prinect Portal. A job cannot be seen on the Prinect Portal if there is no checkmark, i.e. not even in the job list.
•"Visible in Internet > Tabs": This lets you set the default for your jobs that the tabs selected here display on the Prinect Portal. You can change this default setting in the job (right parameter section > "Portal Services").
Global: "Unknown customers in MDS" area
Customers set up in Prinect Business Manager and imported to MIS can also be imported into MDS by importing a JDF. When importing JDFs into MDS, you have to make Remote Access settings for every customer so that the customer can be a Remote Access customer. But this is very time consuming for a great number of new customers.
1.For this reason, you can enable the "Enable Invite Workflow" option here. Approvers (with e-mail address!) of all customers unknown to the MDS can then run actions, without the customer being set as a Portal customer in the MDS. Prinect Portal access is through via a token link in an invitation e-mail. The token link leads you directly to the pending task (upload, page approval) without having to log in.
2.Specify the valid access period.
3.Choose in "Work to be Done", which actions (approval, upload, download) the approvers may perform. Based on this, the approvers are supplied with the job-specific e-mails (e-mail about job creation or upload and e-mail about page approval).
4."Quota": This is where you can specify the maximum size of the data exchange area available to the customer on the Prinect server.

Provided there is no approver specified in Prinect Business Manager, contact persons having an e-mail address can also act as approvers.
In this case, make the following settings:
1.Go to "Administration > Settings > JDF Import > Master data" tab.
2.Disable "Add the customer to Master Data". (Disable "Add Printing Material to Master Data" as well).
3.Click "Save".
Global: "Page List" Group
This is where you can set whether the jobs created on the Prinect Portal will automatically have a page list with the name used in "Page List Name".
Global: "Page Sizes Allowed in New Jobs" Group
This is where you can set which page sizes will be available to your customers when they create new jobs on the Prinect Portal. The sizes are available for selection if the customer selected the "PDF Page Approval" or "Pixel Page Approval" workflow.
•"visible for the customer" list: These page sizes display on the Prinect Portal.
•"hidden for the customer" list: These page sizes do not display on the Prinect Portal.
•"New": This button lets you define a new size.
•"Delete": This lets you delete a size from the lists.
•"Allow free format": A customer can define any size on the Prinect Portal if this option is set.
