Example: PDF Workflow and Layout Approval

Brief Introduction

In this example, we will show you all the steps that are needed for approval of a PDF layout. This includes creating users and a customer, creating a job with the "Qualify" and "SendImposedPDF" sequences and approval of the PDF layout.

1.Proceed exactly as described in Prinect Cockpit: Set up users and customers .

Create sequence templates

To create sequence templates, proceed as described in Create Sequence Templates.

Deviation:

You set up the SendImposedPDF sequence instead of the SendAssembledPDF sequence with the fol­lowing differences:

Open the "Imposition" step instead of the "Combine Documents" step.

·You will find the settings for "When Maximum Size is Exceeded" and "Acceptance Form" in this step.

·We also recommend that you set "Front and Back in Separate Files" in addition to "PDF Output". In this case, approval and confirmation of the approval is by e-mail for each sheet.

The "Approve Page" step is called "Approve Imposition" in this sequence.

Create a job

Perform all steps as described in Prinect Cockpit: Create a job to create the job.

Import Layout

You can import a layout manually or you can automate the import to a job with the "Add_Layout" sequence.

In our example we will manually import a layout.

2.In the open job, go to the "Layouts" step.

3.Click the "Import Layout" button.

4."Select Layout" dialog: On the server of your Prinect Prepress Manager, go to the folder

"PTConfig\Diagnostics\Data\HDCity\Layout"

and select the "HDcityLayout102.jdf" layout.

5.Click "OK".

6."Import Layout" dialog:

·Leave "Create New Page List" enabled so that a page list matching the layout is created during the import.

·Assign the "SendImposed" sequence to the layout you wish to import. To do this, click "Assign" and select the sequence.

7.Click "Import".

8.In the dialog that displays, you are asked whether to start the Planning Assistant. Click "No".

Web: Customer Upload

1.Proceed exactly as described in Web: Customer Upload .

Prinect Cockpit: Editing Job Data in the Job

(1).After the customer upload you as the internal production shop user have received an email.

The e-mail also contains the Preflight report as an attachment.

(2).Customer and production approval of the pages:

In this example, we will show you a layout approval without page approval and the job does not have a page approval sequence. Layout approval is possible irrespective of the approval status of the pages if there is no page approval sequence. This means that you can approve the layout even if the pages do not have a customer and production approval status. For that reason, at this point we can now submit the layout directly to the layout approval sequence.

(Notes on the workflow with page approval: The three page approval sequences are "PageProof", "SendAssembledPDF" and "BookletProof". If the job also has one of these three sequences, pro­duction approval of the pages must be done before the layout is submitted to the layout approval sequence. In this case, the pages must first be approved by the customer (see Web: Approving Pages). After that, production approval of the pages follows at the Prinect Cockpit, either manually or automatically. If production approval is to follow customer approval automatically, you must set the "Production Approval Follows Customer Approval Automatically" option in "Approve Pages" in the page approval sequence. Then you can submit the layout to the layout approval sequence directly after customer approval.)

3.Click "Jobs" > "Imposition" step.

4.Submit the layout to your layout approval sequence.

(All of the sheets must be on the layout. You can also automate the submit procedure with the "AutoSheet" sequence.) Confirm the warnings about no Prepare sequence with "Continue".)

The approval sequence starts running.

The Status area of the job indicates when processing of your Approval sequence has reached the point where a customer approval is needed.

Web: Layout Approval

The layout approval occurs similar to the page approval, see Web: Approving Pages.

Deviations/information:

To approve the layout, go to the open job > "Sheet Approvals" tab in the Web User Interface.

If the job has a page approval sequence, approval of a sheet is possible only if all the pages on this sheet were approved. In this case, first go to the "Pages/Page Approvals()" tab and approve the PDF pages. If you see a green light in the "All pages approved" column, then all the pages are approved and the sheet is ready for approval.

Approval is done sheet by sheet. Click "Approve" in the "Actions" column and continue in the query dialog that then displays like in page approval. If you open the Web User Interface using the e-mail link, the query dialog for the first sheet to be approved is already open. If necessary, you must click "Refresh" to display the modified approval status.

Prinect Cockpit: Finish the Job after Customer Approval

The production shop (internal users) receives a notification e-mail per approval. You receive an e-mail per approved sheet if you selected "Front and Back in Separate Files" in the approval sequence, as recommended in this example. If you selected "Entire Layout in One File", you approve all the sheets at one go and also receive only one e-mail.
