Note: The "Reporting" functionality is designed solely for Heidelberg's Preflighter. This means that preflight reports cannot be sent for PitStop preflight profiles and action lists. For example, if a PitStop preflight profile is configured in the "Qualify" sequence (see "PitStop Preflight Profile" option), you should set "Never" in the "Create report on preflight settings" list box.

"Create report on preflight settings" list box

This is where you set whether and when a preflight report will be generated:

Never

If errors occur

If at least warnings are given

It at least information is given

Always

You can select a page format in the "Page format of the report" list box.

"Language of the Report" list box

This is where you can set the language in which the preflight report will be generated. You can set one of the available languages by default or use "Language of the Report" to set that the report will be generated in the language of the texts found in the job PDF file(s).

"Report Template" option

You can select an available preflight report (it must be a PDF) that you wish to use as a template (page size, formatting, etc.) for automatic preflight reports. Click "Browse" to select this file. To be able to find a template file easily, it should be filed in a shared folder (PTJobs, PTConfig, PNTransfer) of the Prinect server or in a suitable subfolder.

"Report with Summary" option

When you enable this option, the preflight report not only contains the details but also a summary of the report content.

"Report with Indication of Area Coverage" option

Thumbnails of the pages are created to determine the area coverage when you enable this option. The area coverage is shown in the report.

The area coverage is determined within the page trim box.

Note: This process is time-consuming especially for large page sizes and/or many separa­tions.

"Show full document path in reports" option

The path to the checked PDF documents displays in "Location" in the report.

"Add report as PDF attachment" option

The generated preflight report is added to the checked documents as a PDF attachment when this option is enabled.

You can see the PDF attachment in Acrobat as follows:

Acrobat 6: "Document > Attach a File".

Acrobat 7/8/9: "View > Navigation Tabs > Attachments", then the "Attachments" tab.

Acrobat X/XI: "View > Show/Hide > Navigation Tabs > Attachments".

"Add Settings as PDF Comment" option

The used preflight settings are added as PDF comments to the checked documents when this option is enabled.

"Create low-res PDF with (Preflight) comments" option

The Web-to-Print Manager needs an additional low-resolution version of each of the PDF files pro­cessed in the job. These files are filed to the same folder where the preflight report is filed.

"Length unit in reports and messages" parameter

This is where you select the unit of length that will be used in the preflight reports for all lengths spec­ified.

"Resolution unit in reports and messages" parameter

This is where you select the unit of resolution that will be used in the preflight reports for all resolu­tions specified.

"Maximum number of object messages per check" parameter

Use this parameter to define for how many objects (images, text elements, etc.) the Preflighter can show details about the same problem on one page.

Default: 10. In other words, details about a problem can be shown for a maximum of 10 objects on one page (of the checked PDF document). For example, if a document has 13 images whose resolu­tion is below the minimum resolution set in the Preflighter, the message that the image resolution is too low will be issued only 10 times for this page.

"Maximum number of comments per page" parameter

This is where you set the maximum number of PDF comments (text) per page that the Preflighter will write for errors or warnings.

Default: 0 (no comment).

"Maximum number of data sets to preflight in a PDF/VT" parameter

A PDF/VT document for printing variable data mainly consists of a great number of pages that are divided into single data sets (records). Normally, it is not necessary to check all of them and also not advisable for time reasons. For that reason, this lets you enter the maximum number of data sets (records) to be checked. All other data sets are not checked. Default: 10.

"Notification" Section

Here, you an enable the sending of Preflight reports via email. You specify the email address of the recipient in section "Send Message to".

Note: If a great number of notification e-mails are sent within a brief period, the local SMTP server may interpret these as spams and suppress the dispatch of these e-mails. To prevent this, several notifications within a brief period are grouped to one e-mail.

"Send notification" list box

Never: Function is disabled.

If errors occur

If at least warnings are given

It at least information is given

Always: A report is sent for each Preflight process.

"Send Report Only" option

The Preflight reports are sent in text format if you enable this option. The original documents of the print job (in low resolution) are sent with the preflight reports if this option is not enabled.

"Maximum number of comments per sent page" option

When the Preflight reports are sent in the PDF format, Preflight reports as PDF comments are added to the original documents of the print job (low-res). With this option you define the maximum number of PDF comments a document page may have. If the "Send Report Only" option is enabled, no origi­nal document data is sent, but only the Preflight reports. Therefore, you cannot operate this option in this case.

"Maximum Size per File" option

Here you specify the maximum size of an email report (in MB). If applicable, inquire about whether there is a size limit for emails in the mailboxes involved.

"When Maximum Size is Exceeded" option

This is where you set what happens when the maximum file size for Preflight emails is exceeded.

You can select an icon from a list box for each check criterion, indicating the reaction of the Prefligh­ter during a check. The following icons are available:

Ignore and continue:

Sending of reports continues without any message, and the check criterion is ignored. Accordingly, any existing additional settings cannot be used if "Ignore" is selected.

Continue with warning:

Sending of reports continues; an alert message displays.

Cancel with error:

Sending of reports is canceled with an error message.

"Message text" box

You can enter the path of a text file to be sent with the e-mail in this box. Use "Browse" to select a text file (MessageText). The text files are located in the "PTConfig\SysConfig\Resources\MessageTex­tFiles" folder. You can load one of the ready text files and use it as it is, modify a template with a text editor and save it as a new file or create your own text.

"Subject" box

You define the subject of the notification e-mail in this box. You can enter any text.

Variables are set by default. These are filled with information from the job concerned: the name of the proof document, the name of the print job, job ID, mail index.

"Send Message to" group

In this group, you specify the address to receive the Preflight report email.

1.Click "New" to open a new text box where you can enter the e-mail address of the recipient of the preflight report mail.

2.A new box for an e-mail address is created each time you click "New".

3.You can remove a marked item again with "Delete".

"Job's Customer Approval Contact" option

Prerequisite: This option can be used only if a setting other than "Never" is selected in the "Send notification" list box (see "Send notification" list box). To be able to send preflight e-mails, this must have been configured in "Administration > E-mail" (see the E-mail chapter). The jobs processed with this sequence are canceled as faulty if the e-mail settings are not correct. At least one "Approval" contact must be defined as well (see the Customers chapter) in the Prinect Manager customer administration for customers who are to receive preflight reports about their jobs.

When you enable this option, preflight report e-mails are sent automatically to all "Approval" contacts of the customers whose jobs are being processed.

The e-mail addresses of the customer's approval contacts are taken automatically from customer administration when the sequence is being processed. This means that you do not have to define new e-mail setups for these customers.

You can enter a further e-mail address when you click "New" (or several by clicking "New" each time). With this sequence, preflight reports are always sent to these addresses in addition to the e-mail addresses taken dynamically from customer administration.

You can delete a marked e-mail item with "Delete".

Note: The automatic sending of preflight report e-mails does not work if no customer "Approval" contact plus related e-mail address is defined and if you have not addressed spe­cific e-mail recipients with "New".
