"Advanced Options" Group

This group offers you additional features when adding files. You can show or hide this group by clicking the small triangle.

IconNoteNote: If this group is open, you can drag-and-drop files from the Windows Explorer or Macintosh Finder to the file list in this dialog and, by doing so, add them to the job. If a product part was selected, the files are automatically assigned to this product part.

Product Parts

If the job currently open has product parts (e.g. for different languages or for a cover or body), you can select the product part to which the selected file(s) will be assigned. The files are assigned to the end product (all product parts) if no product part is selected.

IconNoteNote: For "Product" jobs, files that will be added to the job must always be assigned to a product part. In this case, an appropriate warning displays in the header of the "Add Files" dialog if no product part is assigned. You cannot confirm the dialog with "OK" as a result.

"Page Assignment" option

If the job currently open has one or more page lists, this option lets you assign the pages of the added files to the page placeholders of a page list. Select the page list you want from the "Page List" list box. If a product part was selected beforehand, the page lists of this product part display in the list box.

IconNoteNote: If you selected several document files at the same time and want to set up page list assignment, the intended order of pages can get mixed up if you do not define the page positions accurately. The reason for this is that your files may be processed at different speeds by different engines. The pages will be assigned to the page list positions in the order the pages were processed.

To prevent such a mix-up, you should set up the grouping function accordingly when adding files. You will find these settings in "Administration > Preferences > All Users > Add Files" See Add Files. Enable the "Keep file groups as added" option and enter the number of files needed to form a group.

"Positions" box

This lets you set the single page list positions for page list assignment. The pages in the added files are then assigned to these positions in the set order.

Example:

Assignment starts at the next empty position in the page list.

"5-"

Assignment starts as of page list position 5 and following positions.

"0,0,0,1-"

The first three pages of the document file are ignored. Page 4 in the document is assigned to page list position 1, page 5 to page list position 2, page 6 to position 3, etc.

"1-2,23-24"

Page 1 is assigned to position 1, page 2 to position 2, page 3 to position 23 and page 4 to position 24. If the document file has more pages, these are not assigned.

IconNoteNote: Based on this, you can also assign a multiple selection of pages. The values in parentheses only have to be separated by commas.

Example:

Page X and Y were selected, page X is to go to position 2, 7, 32 and page Y to 1, 5, 17.

Your input is then: (2, 7, 32), (1, 5, 17).

IconNoteNote: At the Prinect Signa Station, you can hide page positions for layouts with versioning. In this case, these positions also do not appear in the page list. However, when assigning positions, you must remember that these hidden positions also count!

"Positions from File Names" option

If the name of the added file contains page numbers, e.g. 19-36Xyz.pdf, the "Positions" box is preset with page position '19' if this option is enabled.

"Extend Page List" option

When this option is enabled, the selected page list is extended by further page placeholders if the document pages to be assigned outnumber the page placeholders.

If this option is not enabled, only the same number of pages as there are page list placeholders are assigned.

"Page Selection" option

When this option is checked, you can type a selection of document pages into the box. Then only the pages you specified are added to the job.

Example:

All the pages in the file are added.

"5-"

Pages 5 and following are added.

"1-4,23, 25-28"

Pages 1 thru 4, page 23 and pages 25 thru 28 are added.

"Delete Document After Processing Finished" option

When this option is enabled, the files added to the job are deleted after processing of the job is finished.

IconNoteNote: You should enable this option only if you are sure that the document files will no longer be needed and if you need to keep sufficient memory available on the data media concerned by deleting the files. If you are not sure, you should work with copies of the document files to be on the safe side if you use this option.

"Add to List" / "Remove from List" buttons

These buttons relate to page list assignment: If "Page Assignment" is enabled and you assign document pages to the placeholders of a selected page list as described above, you can add the selected document files with the "Add to List" button. The table shows you details, for example, about the assigned product parts, the page list, the specified page list positions or a page selection. This lets you check your settings for page list assignment again.

You can remove one or more selected files from the list with "Remove from List".

IconNoteNote: "Automatic Page Assignment" that may be set in the Qualify sequence of the open job is disabled if you enable "Page Assignment" in this dialog and select a page list and perhaps a product part. In other words, the page assignment you defined in the "Add Files" dialog overrides Automatic Page Assignment in a Qualify sequence.

You must be sure to have selected a page list in order for the page assignment set in the "Add Files" dialog to really work. It is not enough just to select a product part.

"OK" button

The settings are applied, the files are added to the job and the window closes.

"Cancel" button

All settings are discarded and the window closes.
