Job-Specific Settings

Job-Specific– Selecting an Agency While Creating a Job

Dialog "Create New Job" > "Customer Data" Here you see the button "Agency" that you can press to open the "Select Agency" dialog. The dialog displays all the existing agencies that are available for selection, see also Agencies.

This is where you define which customers will act as agencies and whether there will be a default agency: "Agency" as described in Customer context menu > "Properties" (customer entry in the customer table > right mouse button).

Your customers can view information about each of their jobs on the Prinect Portal. In Prinect Cockpit this is where you can set which information will be shown. "Portal Services" is job-specific in this setting and is global in another. See Global: "Portal Services" Group. The global setting is the default setting for all jobs and customers. However, there may be the wish to have different settings for some customers. In this case, the procedure is that you create job templates with different settings in the "Portal Services" group and make only these job templates available to the customer concerned. In this way, you control the visual appearance of the Portal in the Internet through the job-specific setting.

"Visible in Internet" > "This is a read only item" When set, this option write-protects the job. The customer cannot change the job, i.e. cannot approve or add pages, invite anyone to be a contributor and run any group approval.

"Visible in Internet > Job Information": This option lets you select which job information in general will display on the Prinect Portal. A job cannot be seen on the Prinect Portal if it has no checkmark, i.e. not even in the job list.

"Visible in Internet > Tabs": The selected tabs display in Prinect Portal.

Job-Specific – Section "Invite to Cooperation"

In this group you can invite persons to cooperate temporarily in the currently opened job. The list shows you all invited contributors. You can invite contributors from this tab and from the Prinect Portal.

An e-mail address and a name for identification are mandatory for these contributors. The name appears in the job history for all actions. "Approve", "Product Simulation" (approval dialog with product simulation matching the product), "Review Data" (view and comment on data to be approved), "Upload" and "Download" are actions that the contributors can do.

"New" button: A dialog opens where you invite a person to be a contributor. This person receives an e-mail with a link that he/she can use to log in to the Prinect Portal For approval, you can select the suitable approval tool in the list box, see "Remote Approval" work step.

"Modify" button: A new invitation, in other words, an e-mail, is sent each time a change is made.

"Disable" button: This lets you disable cooperation in the job.

Job-Specific – Right-hand parameter area > "Group Approval"

Group approval means that you assemble several approvers ("Job's Customer Approval Contact") in one approval group. All members of this group must give their approval. Approval is not valid if they don't.

The approval group is put together here on the Prinect Cockpit and also on the Prinect Portal.

"Use group approval": Set this option to enable group approval for this job.

"Set Master Approver": Select a person as the master approver from the list of all possible approvers. The master approver can give approval even if some members of the group still have not given their approval.

"Member" list: This shows you a list of all potential approvers at the customer organization.

"For Your Information" list: This list shows you all the approvers who will be informed about an approval but do not have to give their approval for this job.

List of approvers: This shows you all the approvers who have given their approval and those who have still to do it.

Information is communicated through comments in the e-mails.
